Please read the following before registering. By submitting a registration you confirm you have read, understood and agree to these.

Terms & Conditions — School Holiday Program

1. Introduction

These Terms & Conditions apply to all participants enrolled in a Topline NEXTGEN School Holiday Program. By registering a participant, parents/guardians acknowledge and agree to these Terms & Conditions. Topline NEXTGEN is committed to providing a safe, inclusive, enjoyable and educational environment where all participants can learn, develop and enjoy cricket.

2. Eligibility

Participants must be within the advertised age range, be registered through the official process, provide accurate medical, emergency contact and participant information, and follow all instructions from coaches and staff. Topline NEXTGEN reserves the right to refuse or cancel a registration where participant information is incomplete or inaccurate.

3. Program Fees

Full payment is data-req="1" at the time of registration unless otherwise advised. A participant's place is not confirmed until payment has been received. Places are limited and allocated on a first-come, first-served basis.

4. Attendance

Participants are expected to arrive on time, be collected promptly at the end of each session, and attend with appropriate clothing, footwear and equipment as advised. Topline NEXTGEN is not responsible for participants outside published program hours.

5. Participant Behaviour

All participants are expected to treat coaches, staff, volunteers and fellow participants with respect, follow instructions at all times, demonstrate good sportsmanship, respect equipment and facilities, and refrain from bullying, harassment, discrimination, abusive language or unsafe conduct. Physical or verbal abuse, bullying or intimidation, deliberate damage to property, dangerous behaviour, and repeated failure to follow reasonable instructions will not be tolerated. Topline NEXTGEN reserves the right to remove a participant where behaviour is considered unacceptable; no refund will be provided in these circumstances.

6. Parent & Guardian Responsibilities

Parents and guardians must provide accurate emergency and medical information, advise of any medical conditions, allergies, injuries or support requirements, ensure participants arrive prepared and appropriately equipped, and treat staff, coaches, volunteers and other families respectfully. Parents who engage in abusive, threatening or inappropriate behaviour may be directed to leave the venue and future registrations may be declined.

7. Health & Medical Conditions

Parents/guardians must disclose any medical conditions, allergies, injuries, behavioural or learning support needs, and medication requirements. Staff may administer basic first aid where required. Where emergency medical treatment is necessary and a parent/guardian cannot be contacted, Topline NEXTGEN may seek medical assistance deemed necessary for the participant's wellbeing. Any associated medical costs remain the responsibility of the parent/guardian.

8. Safety

Participant safety is a priority. Participants must follow all safety instructions, use equipment appropriately, wear data-req="1" protective equipment when directed, and remain within designated program areas. Topline NEXTGEN reserves the right to modify activities where safety concerns arise.

9. Sun Protection

As programs may involve outdoor activities, participants are encouraged to wear a hat, apply sunscreen before arrival, bring additional sunscreen for reapplication, and bring a refillable water bottle. Topline NEXTGEN may provide opportunities for sunscreen application but cannot supervise individual application requirements.

10. Personal Property

Participants are responsible for their personal belongings. Topline NEXTGEN accepts no responsibility for lost, stolen or damaged personal property, including cricket equipment, clothing, electronics and valuables.

11. Photography & Media

Topline NEXTGEN may take photographs, video footage or other media during programs for promotional purposes, social media, website content and marketing materials. Parents/guardians may advise Topline NEXTGEN in writing prior to the program if they do not wish their child to appear in promotional material.

12. Weather & Program Changes

Programs may be modified due to extreme heat, unsafe weather, venue availability or other circumstances beyond Topline NEXTGEN's control. Where possible, alternative indoor activities or modified sessions may be provided. Topline NEXTGEN reserves the right to alter schedules, activities, coaches or venues where necessary.

13. Cancellation by Participant

Written cancellation requests must be submitted to Topline NEXTGEN. Refunds: more than 14 days before commencement — full refund less any administration/processing fees; 7–14 days before — 50% refund; less than 7 days before — no refund.

14. Non-Attendance

No refunds, credits or make-up sessions are provided for missed days, partial attendance, illness during the program, family holidays, scheduling conflicts or change of mind. As School Holiday Programs operate as stand-alone events, make-up sessions are not available.

15. Cancellation by Topline NEXTGEN

If Topline NEXTGEN cancels a program before commencement, participants will receive either a full refund or a transfer to an alternative program where available. Where sessions are modified or interrupted due to circumstances outside Topline NEXTGEN's reasonable control, refunds may not be available.

16. Child Safety Commitment

Topline NEXTGEN is committed to a child-safe environment where children and young people are safe and protected, treated with dignity and respect, encouraged to participate and have a voice, and supported by appropriately screened and trained staff. All staff, coaches and volunteers uphold the organisation's Child Safety policies at all times.

17. Assumption of Risk

Participation in cricket involves inherent risks, including the risk of injury. By registering, parents/guardians acknowledge that cricket activities involve physical activity and associated risks, participants take part voluntarily, and reasonable precautions will be taken by Topline NEXTGEN to provide a safe environment. Nothing in these Terms excludes any rights that cannot be excluded under Australian Consumer Law.

18. Acceptance

By completing a registration, parents/guardians acknowledge that they have read, understood and agree to these Terms & Conditions and consent to their child participating in the Topline NEXTGEN School Holiday Program.

Privacy Policy

1. Purpose

Topline NEXTGEN is committed to protecting the privacy of children, parents, guardians, participants, employees, coaches, volunteers and stakeholders. This Privacy Policy explains how Topline NEXTGEN collects, uses, stores and discloses personal information in connection with its School Holiday Programs and related activities, in accordance with the Privacy Act 1988 (Cth), the Australian Privacy Principles (APPs) and other applicable laws.

2. Scope

This policy applies to School Holiday Programs, coaching clinics and camps, registrations and enquiries, marketing and promotional activities, the website and online registration systems, and communications with participants and families.

3. Information We Collect

Participant: full name, date of birth, age, gender (where voluntarily provided), school year level, cricket experience and playing history. Parent/Guardian: full name, residential address, email, mobile number, emergency contact information. Health & Safety (where relevant): medical conditions, allergies, injuries, medication requirements, disability or additional support needs, emergency medical information. Only information reasonably necessary for participant safety and program delivery is collected.

4. How Information Is Collected

Through registration forms, online booking systems, website enquiries, email, telephone, incident reports, medical disclosure forms and program participation. Information is generally collected directly from parents or guardians.

5. Why We Collect Information

To process registrations, deliver programs, manage participant safety and wellbeing, respond to enquiries, communicate program information, manage emergencies, administer payments, meet legal and insurance obligations, improve services, and promote future programs where consent has been provided.

6. Health Information

Health information is sensitive information. It is only collected and used where consent has been provided by a parent or guardian and where reasonably necessary to support participant safety, wellbeing and participation. It is only accessible to authorised personnel who require it to perform their duties.

7. Photography, Video & Media

Topline NEXTGEN may capture photographs, video or digital media during programs for coaching/educational purposes, promotional material, social media, website content, marketing publications, and annual reports/presentations. Parents/guardians may opt out of promotional media use by notifying Topline NEXTGEN in writing before the program commences.

8. Disclosure of Information

Topline NEXTGEN will not sell personal information. Information may be disclosed where necessary to coaches and authorised staff, emergency services or medical personnel, insurance providers, government authorities or child protection agencies where data-req="1" by law, and service providers supporting registrations, payments or administration. Third-party providers are expected to maintain appropriate privacy and security standards.

9. Direct Marketing

Contact information may be used to provide program updates, future program information, coaching opportunities, events and special offers, and news. Individuals may opt out at any time via unsubscribe instructions or by contacting Topline NEXTGEN directly.

10. Data Security

Topline NEXTGEN takes reasonable steps to protect personal information from loss, misuse, unauthorised access or disclosure, alteration and destruction. Information may be stored electronically and/or in hard copy, with access restricted to authorised personnel.

11. Data Retention

Personal information is retained only as long as necessary to deliver services, meet legal obligations, manage insurance requirements, resolve disputes and maintain participant records. Information no longer data-req="1" is securely destroyed or de-identified where appropriate.

12. Access to Personal Information

Parents and guardians may request access to personal information held about their child by submitting a request in writing. Topline NEXTGEN will respond within a reasonable timeframe and may require verification of identity.

13. Correction of Information

Topline NEXTGEN aims to keep personal information accurate and up to date. Parents and guardians are encouraged to notify us promptly of any changes; requests to update or correct information may be submitted at any time.

14. Child Safety & Privacy

Personal information relating to children is handled with particular care and only used for purposes directly connected with program participation, participant safety, communication with parents/guardians, and legal/regulatory obligations. Topline NEXTGEN will not knowingly publish personal information about a child without appropriate consent.

15. Website & Online Services

Where registration or enquiries occur through the website, certain information may be collected automatically, including browser type, device information, website usage statistics, IP address, and cookies/analytics data, to help improve website functionality and user experience.

16. Privacy Concerns or Complaints

Any privacy concerns, questions or complaints should be directed to Topline NEXTGEN in writing. We will acknowledge receipt, investigate the matter, respond within a reasonable timeframe, and take appropriate action where necessary.

17. Changes to this Policy

Topline NEXTGEN may review and update this Privacy Policy from time to time. The current version will be made available through official communication channels and registration platforms.

Player Code of Conduct

As a participant in a Topline NEXTGEN program, I agree to:

  • Treat coaches, staff, volunteers and fellow participants with respect.
  • Follow instructions from coaches and staff at all times.
  • Demonstrate good sportsmanship and positive behaviour.
  • Respect all equipment, facilities and venue property.
  • Play safely, use equipment appropriately and stay within designated program areas.
  • Refrain from bullying, harassment, discrimination, abusive language or unsafe conduct.

Unacceptable behaviour (including physical or verbal abuse, bullying, deliberate damage, dangerous behaviour, or repeated failure to follow reasonable instructions) may result in removal from the program without refund.

Parent / Guardian Code of Conduct

As a parent/guardian, I agree to:

  • Provide accurate emergency and medical information for my child.
  • Advise Topline NEXTGEN of any medical conditions, allergies, injuries or support requirements.
  • Ensure my child arrives on time, prepared and appropriately equipped, and is collected promptly.
  • Treat staff, coaches, volunteers and other families respectfully at all times.
  • Support a positive, safe and encouraging environment for all participants.

Parents/guardians who engage in abusive, threatening or inappropriate behaviour may be directed to leave the venue, and future registrations may be declined.
